State Business Transaction

State Business Transactions Disclosure Requirement

To all Georgia College employees: (Supervisors, please be sure that all employees receive a copy of this email if they do not have regular access to email. This includes all part-time faculty and staff. Thank you for your assistance.)

Under Georgia law, Georgia College is required to ensure that all employees are notified of the state business transaction disclosure report. Please be sure to read this information carefully. If it applies to you, complete the appropriate steps as soon as possible, but no later than Jan. 31, 2019.

All state employees who transact business with the state of Georgia apart from their employment relationship with Georgia College are required by Georgia law to disclose all such transactions for each calendar year on or before Jan. 31 of the following year. Transactions which occurred in calendar year 2016 must be reported to the secretary of state on or before Jan. 31, 2019.  Transactions between the state and a spouse or dependent of a state employee, or a business in which a state employee or his or her family member has a substantial interest, must also be disclosed.  There is an exemption where the amount of each transaction is less than $250 and the aggregate of all transactions does not exceed $9,000 per calendar year.

Reporting, if necessary, is now done electronically through the following website:

A copy of the laws and instructions may be found at:

If you do not have business transactions to report, it is not necessary to file a report or to complete any electronic filing. If you have any questions about whether this applies to you, please contact the Office of Legal Affairs (at 478-445-2037) for additional assistance.
