Rehired retirees: Reminder to act early 

In order to avoid hiring delays, we strongly encourage you to submit Rehired Retiree Applications ASAP for any full-time and/or part-time rehired retirees that you currently employ and wish to return, or new staff or faculty needed for fiscal year 2025. Spring 2025 faculty rehired retiree applications may be submitted after Spring courses have been determined based on registration.

TRS communicated a change in their expectations for processing rehired retirees in 2022. To remain compliant with these amended regulations and to keep all processing consistent regardless of retirement agency (TRS, ORP, or ERS), the following changes have been implemented:

  • Staff rehired retirees who work the full fiscal year – a single application may be submitted (July 1-June 30 if 12-month or August 1-May 31 if 10-month)
  • Staff rehired retirees who work part of the fiscal year – a single application may be submitted for the work they are expected to perform; the application dates must be within the span of the fiscal year (July 1-June 30)
  • Faculty rehired retirees who receive a full-time, limited term contract (this is extremely rare)  – a single application may be submitted (July 1-June 30 if 12-month or August 1-May 31 if 10-month)
  • Faculty rehired retirees who receive a semester-by-semester contract (ALL part-time faculty) – a single application for each semester must be submitted
    • Fall: August 1-December 31
    • Spring: January 1-May 31
    • Summer: A separate application is required for each term
      • Maymester: May 1-31
      • June: June 1-30
      • July: July 1-31

The new TRS rehired retiree expectation is aligned with our institutional part-time faculty contract schedule. If you have a part-time faculty rehired retiree, know that every part-time faculty contract issued and accepted will require a corresponding rehired retiree application; this includes any amendments made to credit hours and/or compensation.

Reminders:

  • All rehired retirees are considered temporary employees and must be re-approved annually or per term, whichever is applicable based on employment type.
  • No rehired retiree can begin work until all approvals have been obtained and onboarding requirements completed.
    • Failure to comply with this may put the rehired retiree’s pension in jeopardy.
  • No rehired retiree’s compensation can exceed 49% of the compensation the individual made at the time of retirement and the work commitment must be less than half-time/49% - there are no exceptions.
  • If the rehired retiree will be teaching, you are required to include the “rate per credit hour” as a separate document with the required course information; if not included, we may deny the application and ask you to resubmit with the missing information.
  • Maximum FTE (full-time equivalency) for an employee is 49% (or 0.49 FTE); no rehired retiree can work more than 19 hours per week. To calculate FTE:
    • Number of hours worked per week / 40 hours in a standard work week = Accurately prorated FTE.
      • Example: Working 12 hours/week would be 12 hours worked / 40 hours in a standard work week = 0.3 FTE
      • Part-time faculty: Use the table on the PT Faculty contract to convert the number of credit hours taught to total working hours per week; do NOT calculate FTE solely based on credit hours taught.

If you are hiring a faculty rehired retiree for:

  • July 2024
    • Hire Date – 07/01/2024
    • End Date – 07/31/2024
  • June & July 2024
    • You must execute two separate contracts since this spans two fiscal years – one for June 2024 (FY24), one for July 2024 (FY25)
  • Full Summer 2024 (Maymester, June and July)
    • You must execute two separate contracts since this spans two fiscal years – one for Maymester and June 2024 (FY24), one for July 2024 (FY25)
  • Fall Semester 2024 
    • Hire Date – 08/01/2024
    • End Date – 12/31/2024
  • Spring Semester 2025
    • Hire Date – 01/01/2025
    • End Date – 05/31/2025

Full Academic Year hires are August 1 - May 31.

After the Rehired Retiree Application (DocuSign) is completed at the campus level, several additional steps must occur. Please do not immediately proceed with onboarding once you get the notification that the DocuSign has been completed. Remaining action items include:

  1. Benefits sends a request for approval to the retirement agency.
  2. Upon receipt of approval, Benefits will send the manager an email notification of dates and compensation approved and inform them that they can now consult with Careers for any rehire/new hire onboarding steps. Careers will be copied on this email for awareness and verification that these steps are clear to take place. 



If the retirement agency does not approve the request, Benefits will notify the manager and discuss any potential modifications needed or justification for the denial.
