Old GeorgiaVIEW/D2L courses to be deleted this summer

In January of this year, the Learning Management System Storage Policy was adopted by the University System of Georgia. This policy states that courses may be deleted from the LMS five years after the end of the semester in which they are taught. Therefore, to improve the management of the LMS and to comply with USG policies, ITS will initiate a data purge within our LMS (GeorgiaVIEW/D2L), beginning this summer, to remove Banner-provisioned courses, and, in the fall, some non-Banner courses.

Banner-provisioned courses

Banner-provisioned courses that are more than five years old (fall 2019 or older) will be purged from the LMS this summer. The current timeline for Banner-provisioned courses to be deleted from GeorgiaVIEW/D2L in this round is as follows:

  • In the coming weeks, instructors will receive access to a list of their courses that are set to be deleted.
  • Instructors will be unenrolled from Banner courses to be deleted beginning June 16, 2025.
  • Banner courses will be deleted beginning July 16, 2025.

 

Non-Banner courses

Non-Banner courses (such as sandbox courses or programs administered outside of Banner) that have an end date prior to Dec. 31, 2019, or a course created date prior to Dec. 31, 2019, and that have not been accessed since Dec. 31, 2019, will be deleted from the LMS. The expected timeline for non-Banner courses is as follows:

  • In the coming weeks, instructors will receive a list of their courses slated to be deleted.
  • Instructors will be unenrolled from non-Banner courses to be deleted beginning Oct. 6, 2025.
  • Non-Banner courses will be deleted beginning Nov. 17, 2025.

 

As referenced here, courses include faculty content, student work (e.g., assignments, quizzes and other assessments), and student interactions (e.g., discussions, group work and collaborations). No backup will exist after courses are deleted from GeorgiaVIEW/D2L. Instructors who wish to archive student data and/or course structure & content files should do so in an approved storage repository outside of the LMS, such as in OneDrive. Instructors who wish to back up all course content and student data should do so prior to losing course access on June 16 for Banner courses, and Oct. 6 for non-Banner courses. Visit the CTL Faculty Resources course in GeorgiaVIEW for guidance on copying course content to a new course shell. As we learn more about this policy and a standardized purge schedule, we will communicate that across campus.
